RENTAL GUIDELINES
CHECK-IN TIME: 4 p.m. Eastern Time for Cape San Blas and 4 p.m. Central Time for Mexico Beach.
CHECK-OUT TIME: 10 a.m. Eastern Time for Cape San Blas and 10 a.m. Central Time for Mexico Beach.
EARLY ARRIVALS: May be asked to wait until 4 p.m. Please oblige the posted check-out time to avoid possible forfeiture of your security deposit.
CHECK-IN LOCATION: Please register and receive keys at the Paradise Coast Rental offices. Office hours for Cape San Blas are Monday - Friday 9 a.m. until 5 p.m. Eastern, Saturday 10 a.m. until 5 p.m. Eastern and Sunday 1 p.m. until 5 p.m. Eastern. Office hours for Mexico Beach are Monday - Saturday 9 a.m until 5 p.m. Central.
LATE ARRIVALS: If arriving after 5 p.m., please contact our office in advance to make arrangements for key pick-up and registration.
PAYMENT: We accept Visa, Mastercard and certified checks. Personal checks will be accepted (30) days prior to arrival. There is a charge for any returned checks.
MINIMUM STAY: Most houses and town homes require a minimum advance reservation of seven days between Mid March and Labor Day. Shorter reservations may be made for unreserved homes one week in advance. Weekly reservations are from Saturday to Saturday or Sunday to Sunday. Reservations are accepted up to one year in advance. Reservations made the previous year are subject to rate increase and availability.
RESERVATIONS AND CONFIRMATION DEPOSITS: Tentative reservations are taken by phone, via e-mail or in person at our office. The confirmation deposit will be printed on a reservation acknowledgement that is mailed promptly after your booking. To confirm, we must receive your confirmation deposit within 7 days or the reservation can be cancelled without prior notice. The confirmation deposit is 1/2 of the total rent due. Parties making a reservation within two weeks of arrival date will be asked to confirm the reservation with a credit card. The appropriate deposit will, if any, will be credited to Paradise Coast , LLC. Payment is due in full 30 days prior to arrival. Reservations made during the current or following calendar year may be confirmed with a half down payment. Please be advised that rates are subject to change for the following calender year. The remainder of the confirmation deposit must be paid 30 days prior to arrival.
ONLINE RESERVATION POLICY: Online reservations will be processed the same day during normal business hours. A reservation entered after 5:00 P.m. Eastern Standard Time will be processed the following business day. All online reservations will be charged in full including applicable taxes and the reservation processing fee. Once a guest makes the reservation and enters their credit card payment in the secured link, they are subject to the rental cancellation policy. Please note that when the SSL link appears and all required fields have been met, the reservation is confirmed and the processing fee is applied to that particular reservation. Once the online reservation is confirmed a representative will contact the guest by phone or e-mail (within 24 hours or next business day) with the reservation number. CSA travel insurance (see below) will be automatically included with all online reservations unless denied by the guest within 24 hours or the next business day. Paperwork will be mailed or emailed out to you the day your reservation is processed. Please fill out all paperwork and return it to our office. If you have any questions about our online reservation policy please phone our office to speak with a Reservationist.
RESERVATION PROCESSING FEE: A non-refundable reservation processing fee and Florida sales tax (currently 7% and 4% bed tax) are added to all reservations at the time the reservation is booked.This fee is applied to all online reservations in order to confirm the initial booking dates for guests.
CSA TRAVEL INSURANCE is available at a cost of 6.5% of the total reservation balance. This insurance protects guests from unforeseen and unpredictable weather. Paradise Coast, LLC strongly recommends that guests consider purchasing the insurance to avoid forfeiture of any non-refundable pre-payments due to an interruption or cancellation during their stay. Purchase of travel insurance automatically insures all prepaid and non-refundable bookings. A pamphlet is provided describing the benefits and coverage policies and is attached with the rental agreement mailed to you. Guests may decline by initialing where indicated on your Rental Agreement and returning it with your advanced payment. This plan is optional but we strongly recommend it. In case of any unforeseen events, this insurance helps protectyour vacation investment. If guests decline coverage, the cancellation policy takes effect and no refunds will be given. IF YOU CHOOSE NOT TO PURCHASE THIS COVERAGE, THE CANCELLATION POLICY OF PARADISE COAST RENTALS, LLC WILL BE IN EFFECT.
CANCELLATION POLICY: A cancellation fee of $125 or 10% of your reservation total (whichever is higher) will be charged if you cancel your reservation and the property re-rents for the same time period. In the event the property does not re-rent for the same time period, Paradise Coast, LLC. will not refund any monies to guests. Telephone the office as soon as possible in the event you must cancel, change dates, or switch properties. Please note that we cannot refund your advance rental payment unless the property is re-rented for the same time period. Once your reservation is confirmed any cancellations, date or property changes will be subject to our cancellation policy. If the property re-rents, we will refund your advance rental payment upon confirmation by the new tenant, minus the $125 or 10% cancellation fee and the non-refundable processing fee. Transfer of reservations, whether to the same property at a different date or to a different rental property, will be treated as a cancellation. Sorry, no refunds for early departures.
DAMAGES: Please report any damage or breakage upon occurence, so the matter can be settled prior to your departure. All rental units are inspected before and after occupancy. Rental guests have full financial responsibilities for misuse, negligence or missing items. By initialing the rental agreement mailed or provided, the guest agrees to allow Paradise Coast, LLC to charge their credit card for damages. A $25 charge will be assessed for lost or unreturned keys. $50 will be assessed for any lockouts after hours or if lockout assistance is required at the rental unit. All properties are non-smoking. Smoking in any of our rental houses will constitute a $200 charge to your damage deposit.
LINENS: An initial linen supply (one set of towels per person and one set of sheets per bed) will be provided.
MAXIMUM OCCUPANCY: At all times, the maximuim occupancy is the number the home sleeps, including infants. Occupancy limits are in accordance with rules of the State Fire Marshall's Office. No exceptions will be made. Sleeping limits shown as (for example) "accommodates 6 - 8", indicates the maximum occupancy is the higher figure.
PETS: Some homes do not allow pets. However, some homes will allow pets for a $100 per pet fee. Our office reserves the right to charge a guest's credit card per pet for the fee of $100, when an unauthorized pet or pets are in the unit. In addition, the guests may be asked to vacate immediately with no refund of rent or security deposit if unauthorized pets are present. Please respect this policy, as we are very serious about our duty to the homeowner.
AGE REQUIREMENTS: We are very serious about maintaining a family atmosphere for the quiet enjoyment of our guests. We do not rent to groups of teenagers with or without chaperones, regardless of whether the chaperones are parents of one of the teenagers. We will rent to family groups, married couples and RESPONSIBLE ADULTS over the age of 25. Proof of age is required. Violation of this policy will result in immediate eviction without refund of rent.
NO HOUSE PARTIES, LARGE GROUPS, CAMPERS, TRAILERS, OR MOTOR HOMES: If the home is booked for these purposes without our knowledge tenants will be asked to vacate premises immediately with no refund.
SIGHT UNSEEN AND FURNISHINGS: All of our properties are privately owned and are equipped and furnished according to the owner preferences. Rates, descriptions, bed sizes, inventories and furnishings are subject to change without notice. Refrigerators, stoves, microwaves, washer/dryer are in all units unless stated otherwise in the unit description. Due to our remote location and limited cable TV service, reception is not guaranteed. We make every effort to keep each property and its equipment in good working order. In the event of a breakdown, we will strive to make repairs as soon as possible. Neither the rental agent nor the owner will be obligated to provide replacements or give refunds for the failure or absence of any item, or for any public utility. PLEASE DO NOT MOVE FURNISHINGS OR KITCHEN ITEMS TO ANOTHER UNIT OR TO THE BEACH!! If you rearrange the furniture and do not put it back to the original position you will be charged. Rental agent or owner will not be responsible for providing any additional furnishings or appliances not already in the units.
SUPPLIES AND APPLIANCES: Each home provides:
An initial supply of bed and bath linens, toilet tissue, and bath soap.
Kitchenware, dishtowel, utensils and dishes.
Air conditioning and heat are present unless otherwise noted.
At least one TV.
Full kitchen including microwave, oven, and dishwasher, unless otherwise noted.
Washer and dryer, unless otherwise noted.
Some homes have grills. Charcoal grills are prohibited on decks, porches and balconies. Some homes also provide hot tubs, VCRs, stereos, personal computers and fax machines. Please see individual descriptions for amenities of each home. We can not provide replacements or give refunds for these items or for small appliances. Some homes have elevators to accommodate physically challanged guests. Prior arrangements and additional deposits may be required. Portable cribs and high chairs may be reserved. There will be a nominal set-up fee. Please make arrangements in advance. Bed sizes are listed in the property descriptions in the catalog and web site. Please note that sofa sleepers and hide-a-way beds are inherently uncomfortable. No refunds will be given due to the discomfort of these beds. If the number a rental unit sleeps is listed as (for example) "6-8", this would indicated that the recommended number the home accommodates is six, but eight will be accommodated by use of a sleep sofa. The higher number is the maximum occupancy allowed.
PLEASE BRING: Additional toilet tissue, bath soap, paper towels, detergent, dishwasher soap, garbage bags, foil, sharp knives, coffee filters, beach towels and chairs.
HOUSEKEEPING AND MAINTENANCE: Every effort is made to have your rental property clean and all equipment in good working order. Even the newest or best maintained equipment occasionally malfunctions. Upon arrival, if you find any maintenance or housekeeping problems, please report them to the office as soon as possible. If you are a late arrival, please notifiy us of any problems you may have by 10:00 am EST the next morning. if we have not heard from you by this time, we assume that you found your property in an acceptable condition. There will be no refunds given if air-conditioners malfunction. Every effort will be made to keep them running.
TELEPHONES: All homes provide telephones. Each telephone has a long distance block on the phone. All long distance charges must be charged to a calling card, collect or third party. There is no charge for local calls. Extended service calls are .25cents per call (Panama City, Apalachicola, Eastpoint, Tyndall AFB, Wewahitchka, and other neighboring cities). If extended service calls are not paid for prior to departure a $10.00 administrative fee will be charged in addition to the toll charges.
SWIMMING POOLS: Swimming pools are located in Barrier Dunes, Sea Cliffs, Boardwalk, Cape Villas, Dunes Club, Tucker shores, Brighton by the Sea and Oceanside Village. Paradise Coast,LLC is not responsible and does not guarantee the availability or condition of swimming pools. There will be no refunds for issues regarding swimming pools. Paradise Coast,LLC does not guarantee heat in any pool.
TENNIS COURTS: Are located in Barrier Dunes, and Dunes Club. Paradise Coast,LLC is not responsible for the availability or condition of the tennis courts and will not give refunds.
COMMUNITY RULES AND GUIDELINES: Additional guidelines and rules may be imposed by the specific communties, and or home owners associations.
ACCESS TO THE BEACH: There are many walk ways and easements to accomadate those not staying in a beach front home.
RENTAL HOMES FOR SALE: Rental homes may be on the market for sale. We reserve the right to allow the home to be shown during your stay. We will make every effort to schedule the showing at the guests convenience.
RIGHT TO CHANGE RENTAL ASSIGNMENTS: Paradise Coast,LLC reserves the right to change rental assignments without prior notice or liability in the event of a sale of a rental property, or if the unit becomes unavailable. When comparable accommodations are not available, per the rental agency, guests will receive a complete refund.
HURRICANE EVACUATION: In the event of a "Mandatory Evacuation" due to hurricances, tropical storms or other potential disasters, you are required by state law to evacuate the property. No refunds will be given for non-arrivals or early departures due to mandatory evacuations unless CSA Travel Protection coverage has been purchased 30 days prior to your arrival date. If you choose to leave in a "Voluntary Evacuation", no refunds are given.
AGENCY INDEMNITY: Paradise Coast, LLC is not liable for any damages to rental property or furnishings, nor for injuries resulting from any accident that may occur in or on the premises during guest occupancy. The agent is not liable for acts of theft, vandalism or damages to the guests personal property or items left in the unit. We assume no liability for errors or omissions. Every effort is made to keep our website updated. The vacation homes are individually owned and often items are updated, remodeled or removed without our knowledge. Paradise Coast will not be held liable for changes in furnishings, appliances or other amenities.
